The Role

The Office Manager’s primary responsibilities will be to;

  • Manage RHEON LABS’ office and lab facilities including:
    • Engagement with landlord as required
    • Management of key office suppliers and related costs
    • Management of office security (keys and access control)
    • Engagement with health & safety advisors and ensure standards are maintained
    • Optimisation of office environment as an enjoyable place to work (facilities, atmosphere and cleanliness)
  • Plan and deliver office and lab facilities expansion in the context of the business’ fast growth
  • Procure office supplies (example: stationary, IT equipment and canteen supplies) and manage on-line supplier accounts (example: Amazon)
  • Manage IT facilities including:
    • Management of outsourced IT partner
    • Ordering and set-up of IT equipment (example: PCs for new joiners)
    • Management of IT subscriptions (example: Webex)
  • Organise travel bookings for a small number of staff
  • Manage day-to-day HR records and initiatives such as employee onboarding and annual leave
  • Complete other ad-hoc office management tasks such as preparing for office visitors, birthdays and social event
  • Complete other ad-hoc admin tasks including assisting senior management on a variety of matters

This role is critical to the successful growth of the business, will work closely with the senior management and finance team and engage with everyone in the business.

    • Has solid office management experience (at least 3-5 years), is very organised, has excellent attention to detail, and can be relied upon to deliver
    • Has led the establishment of a new office or a significant office move
    • Enjoys creating the perfect office environment for staff with the right facilities, tools and atmosphere and makes it all look easy (we know it isn’t!)
    • Easily builds strong informal relationships and is comfortable challenging a colleague’s behaviour in an informal, positive and friendly manner without sacrificing effectiveness
    • Views the role as 90% hosting / making things happen and 10% policing rather than the reverse
    • Is flexible and adaptable as demands and priorities change and remains good humoured under pressure
    • Is keen to get involved with different aspects of a growing business
    • Is genuinely excited by the opportunity to work in a high-potential fast-growing environment
    • Is motivated by learning and personal development opportunities
    • Is proactive and takes responsibility for tasks whilst having a positive, “can-do” attitude at all times;
    • Has excellent written and verbal communication skills
